Partner booking manual
Arrange your guests’ liveaboard trip in six steps. Your reservation shows the applicable amounts and deadlines; check it before each action.
Start here: sign in at app.diversdesk.com using your invited email address, then open Partner portal in the menu.
1. View availability
Section titled “1. View availability”Where: Partner portal → Availability.
Choose the operator, vessel, dates, and number of guests. Open a departure to check its itinerary, cabins, prices, and any fees payable onboard.
What happens: you can see the available spaces. Opening a trip does not reserve them.
Next: choose your cabins and place an option. Availability page details.
2. Place option
Section titled “2. Place option”Where: the departure panel in Availability.
Choose cabins and guest counts → Hold cabins & continue → enter the requested booker details → Review option → Place option. Finish before the checkout countdown ends.
What happens: the portal opens Reservations. No payment is collected during this checkout. If the operator must approve the request, wait for approval before confirming. A tentative departure also requires approval.
Next: open your reservation and check its option deadline. Confirm before it expires. Options and statuses.
3. Confirm booking
Section titled “3. Confirm booking”Where: Reservations → open your reservation → Partner settlement → Confirm booking.
Once you have received the required customer payment and are ready to commit, review the agreed payment schedule and confirm.
What happens: confirmation secures the booking, issues your partner invoice, and makes you responsible for paying the operator by the agreed deadlines. This action does not charge the customer or record a separate customer payment receipt. The reservation may show Settlement pending while payment to the operator is outstanding.
Your invoice is available immediately: open Partner settlement → View partner invoice in the same reservation. You do not need to request it or wait for an email.
Next: share the guest paperwork link. If Confirm booking is unavailable because the operator collects payment, follow the reservation’s payment instructions. Payment arrangements.
4. Send paperwork
Section titled “4. Send paperwork”Where: open the reservation → Guest registration and paperwork → Copy booking URL.
Send the copied link to the main booker or guests using your preferred channel. It opens the whole booking, where guests can complete their registration and required paperwork.
What guests see: booking and guest-registration information. Partner-billed items show Through partner instead of your partner prices; separately charged customer extras may still show prices.
What happens: copying the URL does not send an email. Guests with a listed name select it and verify their email; guests without a listed name use Register for an available place.
Next: arrange payment to the operator by its deadline. Do not delay payment while waiting for paperwork. Paperwork and guest details.
5. Pay the operator and report the transfer
Section titled “5. Pay the operator and report the transfer”Where: View partner invoice for the amount and payment instructions; Report deposit transfer in the reservation or its actions menu.
Transfer the amount due to the operator, then open Report deposit transfer and follow the instructions to report it.
What happens: a reported transfer awaiting review is not yet a recorded payment receipt. Check for Deposit transfer awaiting operator review and follow up if the operator needs more information.
Next: check the remaining balance and its deadline. If the booking requires one full payment, follow that payment’s instructions. Invoices and transfers.
6. Pay the balance
Section titled “6. Pay the balance”Where: open the reservation and check the balance amount and deadline.
Transfer the remaining amount according to the invoice, then choose Report balance transfer when available. Follow the collector shown if the operator collects the balance directly from the customer.
What happens: the balance stays outstanding until payment is recorded. A transfer awaiting review still needs operator review.
Complete: check that no payment remains due and all guests have completed the required paperwork.
Emails and help
Section titled “Emails and help”Emails depend on the operator’s settings. Reservations is your place to check progress even if no email arrives. You can access the invoice and share paperwork without waiting for an email.
For booking changes, payments, access, or deadlines, contact your operator. For portal problems, contact support@diversdesk.com.
